Transferring data to the archive

 An archive is a place where the history of data entered into the system is stored. We can archive within:

  •  people added to the system (e.g. students, teachers)
  •  defined facilities (e.g. groups, contracts, courses, course prices, teacher billing rates, message senders)
  •  added resources (e.g. classrooms, departments, organizations, document repository, teaching aids)
  •  events

For example, if students have finished school or a defined group has finished their work, you do not have to permanently delete them from the system. To preserve student history, their payments, groups or teachers, you can transfer them to the Archives

We can transfer data to the archive in many levels in the system, depending on whether we want to archive e.g. a group, a student or a contract.

For example:

To transfer a student to the archive, click → Options → Move to archive

Warning! A student who is assigned to an active Agreement cannot be transferred to the archive. The system allows archiving students who do not have an active contract in the system, are not assigned to an active group

To transfer the contract to the archive, click → Options → Move to archive

Warning! Contracts signed, we can transfer to the archive only after the end of the contract.

To move a group to the archive, click → Options → Move to archive.

Warning! Only groups that have classes supplemented by teachers and the group's date of work may be moved to the archive.

Certain operations related to transferring data to the archive can be automated by making settings in System Configuration. See → Global settings for archiving groups and contracts

The operation of transferring a given resource to the archive is reversible. To restore the data activity status, use the Options → Move from archive function.
